WHEN THIS SERVICE MAKES SENSE

Small envelope. Serious consequences if it goes missing.

A confidential document courier is worth considering when the consequences of delay, loss or delivery to the wrong person matter more than the size of the envelope. The strongest case is often a document that is sensitive, needed urgently and difficult to replace.

Sensitive information

Private legal instructions, employee records, financial information, board papers and an unannounced transaction may need restricted access. Name who may release and receive the pack, and limit what appears on labels and progress messages.

A deadline that matters

A signed agreement may be needed for completion, a tender may have a physical submission cut-off, or an original may be required for an appointment. Plan backwards from the actual handover deadline, including the recipient’s local time and opening hours.

Hard-to-replace originals

A wet-ink signature, notarised document, original certificate or existing passport can involve new appointments, signatures or replacement procedures if lost. Confirm that the original is required and tell us what would make replacement difficult.

A dedicated hand-carry journey gives you a specific collection and delivery plan, an accompanying courier and an agreed handover. It reduces reliance on routine depot transfers; it cannot remove every travel, inspection or delivery risk.

If an approved digital copy meets the recipient’s requirements, a suitable secure digital channel may solve the problem. If the physical document is replaceable and the deadline is flexible, a standard tracked service may be sufficient. Dedicated hand carry is most useful when the original, the recipient or the timing needs particular attention.

What might justify a confidential courier?
TYPICAL SITUATIONS

What might justify a confidential courier?

A transaction cannot complete without the signed originals

A legal or finance team needs the executed pack at an overseas office before a fixed cut-off. The delivery brief should identify the complete pack, authorised recipient, local deadline and the person who can approve a change.

Sending signed contracts →

Personal records must reach one authorised person

An HR or professional-services team needs sensitive paperwork handed to a specific colleague. State whether reception or another employee may accept it, what identification is required and what happens if that person is unavailable.

An original would be slow to reproduce

A notarised power of attorney, certificate or original deed is needed for an appointment. Confirm the receiving organisation’s requirements before arranging travel, including whether it needs an original, a certified copy or a particular legalisation.

Moving hard-to-replace originals →

A private passport delivery has a real deadline

An existing passport may need to reach its holder abroad. Explain the document category, collection contact, authorised recipient and deadline without sending the passport image in an initial enquiry. Acceptance and any destination requirements must be checked.

These are illustrative situations, not claims about completed client assignments. Your adviser or receiving organisation should confirm any filing, validity or acceptance requirements.

SECURITY REQUIREMENTS

Make the security arrangements specific.

“Confidential” describes the sensitivity of a delivery. The booking instructions should explain how it will be handled: who has custody, which people may receive it, what records are required and what happens if the plan changes.

Confirm additional controls before booking

All Direct Carry couriers are DBS-checked, GDPR-trained and work under non-disclosure terms. If your organisation also requires a particular level of DBS check, its own NDA, a formal chain-of-custody record, numbered tamper-evident packaging or specific data-handling terms, tell us before booking. Those additional requirements must be assessed and agreed in writing before the documents are released.

Chain of custody: who held the pack, when and why?

A chain-of-custody record links an identifiable pack to its movements and handovers. It should show who released it, who took responsibility, when custody changed and who finally received it. A tracking update or delivery signature alone does not document the whole chain.

If your organisation needs a formal record, agree the format, required fields, access and retention before collection. A useful instruction covers:

  1. Pack identity: an external reference, number of packs and any recorded seal number, without unnecessary confidential contents on the label.
  2. Collection: the releasing contact, courier identity, location, date and time, plus the visible condition of the pack.
  3. Changes or exceptions: any authorised transfer, required inspection, damaged seal, delay or change of recipient, with the decision-maker and action taken.
  4. Final handover: the authorised recipient, the identity or authority check agreed for that booking, handover time and location, and the required acknowledgement.
  5. Record handling: who receives the completed record and how long any names, signatures or photographs need to be kept.

Tell us if you need a court, regulator or client-specific form. Its suitability and the courier’s ability to complete it must be confirmed in advance. A delivery record does not by itself establish legal service, evidential admissibility or an unbroken forensic chain of custody.

Recipient checks, restricted handover and changes of plan

Specify the named recipient and whether an assistant, reception desk or another office may accept the pack. If an identity check, agreed collection code or signature is required, explain the exact requirement before booking; a name on an envelope is not an identity-verification procedure.

Provide a fallback decision-maker and instructions for an unavailable recipient. An unattended drop-off, different address or substitute recipient should require the authority agreed in the booking. Avoid collecting or photographing identity documents unless there is a specific, justified need and an agreed way to handle that information.

Tamper-evident packaging: signs of interference, not a guarantee

A sealed envelope and a tamper-evident security bag are different. Tamper-evident packaging is designed to show signs of opening or interference; it does not make the contents impossible to access or prove that no interference has occurred.

If your process requires a numbered bag or seal, specify the product, who supplies it, who seals it and who records the number at collection and delivery. Packaging availability and suitability must be confirmed. Where an exterior photograph is agreed, frame it so confidential contents and unnecessary personal information are not exposed.

Airport security or customs may require an inspection. A confidentiality instruction cannot prevent a lawful inspection. Agree how an inspection, seal change or damaged package should be reported and recorded; do not rely on a promise that the pack can never be opened.

DBS checks: confirm the person, level and evidence

All our couriers are DBS-checked. If your procurement or security policy requires a particular check level or supporting evidence, tell us before booking so the requirement can be reviewed for the allocated courier.

Different DBS checks have different scopes. Standard and Enhanced checks are restricted to eligible roles; handling confidential documents does not automatically make a role eligible for an Enhanced check. We do not describe a check as Enhanced or as security clearance unless that specific status has been established.

A DBS certificate reflects information at the time of the check and has no official expiry date. Review its date and scope under your organisation’s policy. A DBS check is not a security clearance, a confidentiality agreement or a guarantee of future conduct.

NDAs: agree confidentiality terms before disclosure

All our couriers work under terms of non-disclosure. Confidentiality is an obligation of the people carrying your documents. If your organisation requires its own non-disclosure agreement (NDA), send the proposed terms for review before sharing protected contents or confirming collection, and allow time for agreement and signature.

Identify the parties, the information covered, the permitted delivery purpose, who may need access, the duration and any record-return or retention requirements. Establish which people or organisations must be bound. A signed NDA is not a substitute for packaging, controlled handover or a custody record, and cannot override legal disclosure or inspection obligations.

Our existing non-disclosure terms and your organisation’s own NDA are separate arrangements. A bespoke NDA applies once it has been agreed and signed; submitting a form does not automatically accept your additional contractual terms.

GDPR and personal information: plan the handling, not just the journey

All our couriers are GDPR-trained. That training is part of our approach to confidential delivery, alongside clear handling instructions and an authorised recipient. Where documents or delivery records contain personal information, responsibilities still depend on the information, the purpose and each party’s role. Training is not a GDPR certification or automatic approval for an international data transfer.

Start the enquiry with the document category, pack count, route and deadline. Avoid attaching passport scans, employee files, bank details or the contents of the pack merely to obtain a transport quote. If additional sensitive information is needed, agree how it should be supplied and who needs access before sending it.

Your organisation should assess the appropriate lawful basis, access restrictions, retention and any international-transfer requirements. Confirm the courier’s role and any required data-processing terms with your privacy or legal contact. For delivery evidence, agree the minimum names, signatures or exterior photographs needed and who may receive them.

Our Privacy Policy explains our published handling of website and service information. Raise any additional contractual security, breach-notification or deletion requirements before booking so they can be assessed.

What to include in your confidential delivery enquiry
HOW WE PLAN IT

What to include in your confidential delivery enquiry

Send a short transport brief first. Identify the document category, collection and delivery points, real deadline and any mandatory security requirements. You do not need to send the document contents to explain the journey.

01
Limit enquiry details

Start with the document category, pack size, collection point and deadline. Ask how any additional sensitive instructions should be shared before sending the contents.

02
Name authorised contacts

Give a collection contact and recipient with telephone numbers. Specify whether a substitute recipient or reception handover is permitted.

03
Set the delivery window

Confirm when the authorised person will be present. A flight that lands earlier is not useful if the intended recipient cannot take delivery.

04
Agree packaging

Describe the sealed envelope or protective pack and any external reference. Sealing instructions remain subject to applicable security inspection requirements.

05
Specify confirmation

Agree the handover details needed for your records. If a photograph is requested, identify what may be photographed without exposing confidential content.

06
Plan an unavailable recipient

Provide a decision-maker for changes at destination. The courier should not have to choose a new recipient or unattended drop-off without agreed instructions.

FAQ

Common questions

When is a confidential document courier worth using?

Consider dedicated hand carry when a physical original is sensitive, needed by a fixed deadline or difficult to replace. Signed transaction packs, private business records, notarised originals and existing passports are examples. Confirm that the recipient needs the original, then give us the deadline and handling requirements so we can assess a suitable route.

Are all your couriers DBS-checked?

Yes. All Direct Carry couriers are DBS-checked. If your organisation requires a particular check level or supporting evidence, raise that requirement before booking so it can be reviewed for the proposed courier. A DBS check is not the same as security clearance.

Are your couriers GDPR-trained?

Yes. All our couriers are GDPR-trained. For personal information, agree the required handling instructions, authorised recipient and minimum delivery evidence. Your organisation remains responsible for assessing its own disclosure and any international-transfer requirements.

Do your couriers work under non-disclosure terms?

Yes. All our couriers work under terms of non-disclosure. If you require your organisation’s own NDA, provide it for review before sharing protected information or booking. Additional terms must be agreed and signed before you rely on them.

Can you provide a formal chain-of-custody record?

Tell us the record or template you need before booking. Its fields, handover requirements, record access and retention must be agreed as part of the accepted instruction. A progress message or proof of delivery alone is not a complete custody log.

Is tamper-evident packaging included?

Do not assume a numbered security bag or seal is included. Specify the packaging you require and confirm who supplies it, who seals it and what evidence is recorded. International carriage remains subject to required security and customs inspections.

Must I upload the confidential documents for a quote?

No. Start with the document category, number and size of packs, collection point, destination and deadline. Avoid sending passport scans, bank details, case contents or employee files in an initial enquiry. Any further information and how to share it can be agreed separately.

Can the pack be handed only to one named person?

Give that requirement before booking, together with the person’s availability and any identity or signature check you require. Say whether reception or a substitute recipient is permitted and nominate a decision-maker if the named person is unavailable.

Need sensitive originals delivered urgently?

Tell us the document category, route, deadline and security requirements. We’ll assess the journey and confirm the agreed handling arrangements before you book.
