WHY DIRECT CARRY

Build the journey around the tender receiving point

A physical tender submission needs a transport plan that accounts for the organiser’s stated receiving deadline and delivery procedure. Ask the organiser to confirm both before arranging the journey.

We route backwards from the tender deadline, including local delivery time, building access and recipient availability.

For a tight departure window, see next-flight-out courier planning. If a bid includes a wider confidential pack, see confidential document handover guidance.

Direct Carry is an on-board courier/hand-carry service, not a legal adviser or certification authority. We transport accepted items; the sender remains responsible for document validity, legalisation, filing rules and any jurisdiction-specific requirements.

HOW WE PLAN IT

Work backwards from the actual submission window

A tender address may include a specific desk, building entrance or receiving procedure. Obtain those instructions from the tender organiser and provide the date, local closing time and any earlier access limit. The route needs to reach the correct receiving point with time for the agreed handover.

01
Obtain delivery instructions

Provide the organiser’s exact receiving location, permitted handover method and reference. Do not rely solely on the organisation’s general postal address.

02
State the local cut-off

Give the closing date, time and time zone, plus any appointment or building-entry window. Identify how early the pack can be accepted.

03
Confirm final production

State when printing, signing and packing will be complete. Give the number of boxes or envelopes and their finished dimensions and weight.

04
Explain pack handling

Pass on the sender’s sealing, labelling and orientation instructions. Flag any restrictions before assessment; required transport security checks still apply.

05
Plan the receiving approach

Include travel from the arrival gateway to the designated entrance, visitor procedures and a contact for access problems. A city arrival time is insufficient.

06
Agree receipt and escalation

Specify the acknowledgement needed and a reachable decision-maker if timing changes. The organiser’s tender acceptance decision remains separate from the courier’s delivery record.

Keep the finished submission identifiable and together
CUSTODY & HANDOVER

Keep the finished submission identifiable and together

The bidding team should check the completed submission and prepare the outer package according to the instructions it has received. Tell us which labels or references need to remain visible and whether several envelopes form one submission. Agree the evidence of physical handover needed for your bid record.

✓
Named collection contactThe bidding team confirms that the finished submission is ready for release.
✓
Direct courier custodyRecord all envelopes or boxes that form the submission and their handling instructions.
✓
Named recipientUse the organiser’s designated receiving point and any named contact.
✓
Progress updatesAgree the receipt information and who must be contacted if access or timing changes.

FAQ

Common questions

What deadline should I provide for a tender?

Give the organiser’s closing date and time with its time zone, along with the receiving window and any appointment requirement. Include the exact point where the submission must be handed over.

Can delivery to the building reception count as submission?

Only the tender organiser can confirm its permitted procedure. Supply that instruction before booking; a general reception delivery should not be assumed to satisfy a designated submission requirement.

Can the tender package remain sealed?

Provide the sender’s packaging and sealing instruction at enquiry stage. It must be considered alongside carriage suitability and any required security inspection, so an absolute no-opening promise is inappropriate.

Does a courier receipt mean the tender has been accepted?

It records the agreed physical handover. The organiser controls the tender process and acceptance decision; your bidding team should confirm the required acknowledgement directly.

Need the original there urgently?

Send the collection point, destination, document or item details and the real handover deadline. We’ll assess the practical route.
