WHY DIRECT CARRY

Fit document delivery into the transaction timetable

Cross-border corporate work can involve multiple offices and fixed completion windows. Transport should be treated as part of the transaction timetable.

We plan collection from the UK office or adviser and direct handover to the overseas office, counsel or administrator.

When execution is the remaining step, see signed contract courier planning. For a document set tied to a funding window, see financial document handover guidance.

Direct Carry is an on-board courier/hand-carry service, not a legal adviser or certification authority. We transport accepted items; the sender remains responsible for document validity, legalisation, filing rules and any jurisdiction-specific requirements.

Coordinate release, completion and office handover
HOW WE PLAN IT

Coordinate release, completion and office handover

Corporate paperwork may move between a company office, its advisers and an overseas administrator. Identify who controls the final pack and who can release it for travel. Give the deadline for physical receipt separately from the wider completion timetable so transport can be assessed accurately.

01
Identify the final pack

Nominate the company or adviser responsible for preparing the documents. State whether signatures or final approvals are still outstanding.

02
Set release authority

Give the name and number of the person who can confirm collection may proceed. Provide a reference that distinguishes the pack from other transaction paperwork.

03
Confirm the receiving team

Provide the overseas company, adviser or administrator address. Check the team’s local availability and any reception booking or visitor instructions.

04
Assess the travel window

The route calculation starts from actual collection readiness and finishes at the receiving office. Include the time needed for any onward transaction step.

05
Agree completion updates

Tell us who should receive collection and handover information. If several offices need updates, identify one contact authorised to change the delivery instruction.

06
Define onward movements

Explain any countersigning, return delivery or second recipient at the outset. Each extra handover needs its own readiness time and route assessment.

Keep the transaction pack and instructions aligned
CUSTODY & HANDOVER

Keep the transaction pack and instructions aligned

Label separate packs clearly and make sure the releasing office knows which version should travel. The courier moves the pack identified by your instructions; your corporate team or adviser remains responsible for its completeness and approval. Report changes before collection to prevent an out-of-date pack being dispatched.

✓
Named collection contactIdentify the person authorised to release the approved transaction pack.
✓
Direct courier custodyRecord the number of envelopes or folders travelling as one instruction.
✓
Named recipientConfirm the exact overseas team and any permitted alternative recipient.
✓
Progress updatesUse one decision-making contact when several offices need progress information.

FAQ

Common questions

Can different offices provide the collection and delivery instructions?

Yes, identify both contacts and nominate who has authority to confirm the booking or change the route. Conflicting instructions need to be resolved before the pack moves.

What if the board approval or signing time changes?

Notify the booking contact as soon as the expected release time changes. A revised ready time may affect the available journey and the receiving office’s ability to accept delivery.

Can a pack visit more than one office?

Describe every requested stop and the work expected at each one. Availability, waiting time, travel and any onward collection need to be assessed as part of the proposed movement.

Does the courier check the corporate paperwork?

The instructing company or adviser should check the final contents, signatures and supporting records. The courier’s role is collection, transport and the agreed physical handover.

Need the original there urgently?

Send the collection point, destination, document or item details and the real handover deadline. We’ll assess the practical route.
